Stallholder Code of Conduct

1. Purpose and Application

Heritage Promotions UK aims to provide welcoming, professional and enjoyable events for Stallholders, customers, venue staff and organisers. This Code applies to Stallholders and anyone attending or working on their behalf. It must be read with the Stallholder Terms & Conditions (Version 2027.2) and Payment & Cancellation Policy (Version 2027.2), which together with the written booking confirmation form the booking agreement (Terms & Conditions section 1).

2. Respectful Behaviour

Everyone must behave courteously and professionally. Aggressive, threatening, intimidating, abusive, discriminatory or offensive conduct is unacceptable, whether directed at customers, other Stallholders, venue staff or event organisers.

3. Other Stallholders

  • Respect allocated pitches and do not encroach on neighbouring spaces.

  • Do not move another Stallholder’s property or display without permission.

  • Do not deliberately obstruct or interfere with another Stallholder’s trading.

  • Competition is welcome; intimidation, harassment and disparagement are not.

4. Customers and Trading Standards

  • Treat customers fairly, courteously and without discrimination.

  • Display clear prices and provide accurate product information.

  • Handle complaints calmly and refer unresolved disputes appropriately.

  • Do not use aggressive, misleading or intimidating sales techniques.

5. Products and Sales

Only lawful, safe and suitably represented products may be offered. Counterfeit, illegal, unsafe or misleading items are prohibited. Product categories requiring prior organiser approval must be consistent with the accepted application.

Alcoholic products must not be sold, sampled, promoted or distributed at Heritage Promotions UK events without express written authorisation and compliance with all relevant licensing rules.

6. Stall Presentation and Housekeeping

  • Remain inside the allocated trading area and respect adjacent spaces.

  • Keep aisles, emergency exits and access routes clear at all times.

  • Ensure stock, signage, tables and displays are tidy and stable.

  • Do not create trip or electrical hazards.

  • Remove rubbish and leave the trading area clean at the end of the event.

7. Safety and Venue Rules

  • Follow reasonable safety and operational instructions issued by Heritage Promotions UK and venue staff.

  • Use electrical equipment safely and ensure all fixtures and displays are secure.

  • Report accidents, injuries and hazards promptly to the organiser.

  • Do not bring animals into the premises other than assistance dogs, unless written permission has been given in advance.

Every Stallholder must maintain valid, current Public Liability Insurance (PLI) with at least £5 million indemnity, or a higher level required by the venue and notified before booking. Satisfactory evidence must be provided before the first event, at policy renewal and whenever reasonably requested. Stallholders must notify Heritage Promotions UK promptly if the policy expires, is cancelled or materially changes. The full insurance and trading-permission conditions are in Stallholder Terms & Conditions section 9.

Stallholders are responsible for any relevant product liability cover, legal registrations and licences, safe products and labelling, and other legal duties. Where insurance evidence is missing, trading may be withheld as provided in Terms & Conditions section 9; financial consequences are governed by the Payment & Cancellation Policy.

9. Set-Up, Trading and Departure

Published arrival, set-up and closing times must be observed. Early dismantling or departure requires prior approval except in an emergency. Trading spaces must be cleared promptly as directed. Further trading-area requirements are in Terms & Conditions section 12.

10. Overnight Stalls

Where displays are permitted to remain overnight between trading days, stock and equipment remain at the Stallholder's risk, subject to liability that cannot lawfully be excluded. Valuable items should be appropriately secured. See Terms & Conditions section 7.

11. Social Media and Public Comments

The same standards of professional respect apply online. Stallholders must not threaten, harass, discriminate against or knowingly make false allegations about the organiser, venue, customers or other Stallholders. Genuine complaints and honestly held opinions are not prohibited.

12. Complaints and Raising Concerns

Raise complaints directly with Aaron Townson, the event team or info@heritage-promotions.co.uk. Stallholders must not threaten or intimidate others. Financial disputes, cancellation notifications and refunds are managed under Payment & Cancellation Policy sections 4 and 10.

13. Organiser’s Authority

For safety, legal compliance, event operations or the protection of other attendees, Heritage Promotions UK may reasonably require a Stallholder to change a display or behaviour, remove an item, move location or leave the event. Where practicable, the Stallholder will be given an opportunity to correct the problem first; urgent safety matters may require immediate action.

14. Serious Breaches

Examples of serious breaches include:

  • Violence, threats or abusive or discriminatory harassment.

  • Theft, deliberate property damage or deliberate interference with others’ stalls.

  • Selling unlawful, prohibited, counterfeit or materially unsafe products.

  • Serious breaches of health, safety or fire precautions.

  • Deliberate disruption of the event or repeated refusal to follow reasonable safety instructions.

  • Failure to maintain or provide satisfactory evidence of mandatory Public Liability Insurance.

Serious or repeated breaches may result in removal from an event, cancellation of that Stallholder's future bookings or refusal of future applications where proportionate and reasonable. This is not the same as Heritage Promotions UK cancelling the event itself. Any cancellation charge, refund or application of a Christmas deposit is assessed under Payment & Cancellation Policy sections 4–8 and applicable law; there is no automatic forfeiture. See also Terms & Conditions section 11.

15. Future Bookings

Heritage Promotions UK may consider serious or repeated conduct breaches when deciding whether to accept future bookings. Each situation will be considered reasonably and individually, taking account of its seriousness and any corrective action.

16. Acceptance and Version

By accepting a booking, the Stallholder agrees to follow this Code and ensure that their employees, assistants and representatives do likewise. Version 2027.2 applies to new 2027 event bookings when issued and must be provided together with the matching Stallholder Terms & Conditions and Payment & Cancellation Policy.
